The difference is in access to Claudia (AI platform): only the CX Engineer (and Administrator) can configure AI agents, tools, MCP connectors, and knowledge bases. Supervisors do not have access to these configurations. Can a Supervisor access Claudia? No. Access to Claudia is exclusive to CX Engineer and Administrator profiles. Can CX Engineer create users or configure inboxes? No. These actions are exclusive to the Administrator profile. Can a Supervisor create campaigns? Yes. Defining Which Profiles Can Block Contacts

When to Use - When you want to restrict who can use the Block contact action in a conversation — for example, allowing only Administrators and Supervisors and removing permission from Agents. - When different teams or BPOs within the same operation require different access levels to block contacts. - You don't need to change anything here to maintain the current behavior: by default, all profiles except Assistant can already block contacts. What is "Block contact" It's the button at the top of the conversation that mutes the contact — blocking and muting are the same action. This setting defines which user profiles can perform this action, independently per account. Prerequisites :::info You need to be Account Administrator to change this setting. ::: Step-by-step Step 1 — Open account settings In the side menu, go to Settings → Account Settings, in the General Settings tab. Step 2 — Open "Advanced Settings" Scroll the page down and click on Advanced Settings to expand the section. Step 3 — Choose profiles In the Profiles allowed to block contacts field, select the profiles that will be able to block contacts and remove those that should not have permission. Section "Advanced Settings" in account settings, with controls "Profiles allowed to take AI conversations" and "Profiles allowed to block contacts" Step 4 — Save Click on Update Settings. Notes - Default: all profiles except Assistant are enabled by default — the current behavior is preserved, and no account changes on their own. - The same section also controls the Profiles allowed to take AI conversations. - Changes take effect on next login: users already logged in will see (or not see) the button after refreshing the session (new login), as with other profile permissions. - Blocking and unblocking use the same permission — if you can't block, you can't unblock. - If someone without permission attempts to block (for example, from an old session), the action is denied with a notification that you do not have permission — this is a account setting, not an error.

You receive an email titled "Password Reset: contact your account administrator", and the administrator sets a temporary password in Settings → Agents. More about the channels in Two-factor authentication (2FA): via SMS or email. Common errors and how to resolve "Invalid/expired code" Request a new code and try again. Guide to Notification and Audio Alert Settings

In this article, you will better understand the notification features in Cloud Chat, where to find them, and how to enable them. Notifications are an essential part of CloudChat. They inform you about tasks you need to complete and messages you are receiving. Here you can view the notifications you've received. Sound and Pop-up Alerts To manage your notifications, simply click on profile settings and then on the other button that will also be called profile settings. Sound and Audio Notifications In profile settings, scroll down to find audio notifications. Here, you can choose the type of notification sound you want, either ding (chime) or bell. You can also select the event that will trigger the sound alert, whether none, when a message is assigned to you, or for all events. The conditions for audio alerts include notification only when you are outside the Cloud Chat window or tab (checkbox enabled), or even when you are in the Cloud Chat window (checkbox disabled). Another option is to activate (checkbox enabled) a repetitive alert that will sound every 30 seconds until you mark the assigned messages as read. A message is considered read when you click on it. If the checkbox is disabled, you will not receive these repeated alerts. Finally, you can choose the type of notification you want to receive, such as always when a new conversation is created, always when a conversation is assigned to you, always when you are mentioned in a conversation, always when a new message is created and assigned to you, or when a new message is received in a conversation in which you are a participant. And that's it! Now you know everything about notifications in CloudChat.

Custom Availability Settings for User

Custom Availability Selection Through the user’s availability tab located in the lower left corner of the screen, you can access the menu with the platform’s known statuses: online, busy, and offline. Now, it’s also possible to include custom reasons for the user’s absence. These new options are available in the "busy" status section. When you hover over this tab, a side menu appears. In it, you can choose from different reasons for the busy status, such as having lunch, traveling, or in a meeting. By selecting one of these options, the user will be displayed with the corresponding personalized status. Whenever they access the menu, they will see that it is indicated, for example, as "in a meeting". If the user selects another status, such as online or offline, the busy status will be reset to default. In this state, it is still possible to hover over the tab to open the side menu and choose one of the available custom options. Managing Custom Availability Settings Custom options can be managed in the platform’s settings, under the “Custom Availability” tab. Here, the administrator can add, edit, or remove custom statuses as needed. To create a new status, click "Add availability reason" at the top right corner of the screen. You will be able to define a title, such as "Break for coffee", and associate an emoji — a mandatory item for creation. After filling out these fields, click "Create". The new custom availability will be saved and displayed in the customization menu. Absence of Custom Availability Settings If the user has no custom availability, the availability menu will display normally, showing only online, busy, or offline options.

In the Allow automatic assignment option, you specify whether tickets transferred to this team should follow an automatic transfer rule among online team members, or if the ticket will remain without an owner. To enable this feature, keep the checkbox checked. After making this decision, click Create New Department. Here, you will select all the agents you want to include in the team. Finally, click Add Agents. All set, your team has been created! To finish, click Finish. ⚠️ Important: for your agent to correctly see the Inbox, they must also be assigned to it. Follow the steps below to set up this configuration: Access the inbox Go to Settings > Inbox, select the desired inbox (e.g., Chat), and click Edit. On the selected inbox screen, go to the Collaborators > Agents tab. Type the name of the agent you want to include—they will appear below. Click on the corresponding name. In this screen, you can set the team hours if they differ from the regular hours. This is relevant, for example, if your finance team only works from Monday to Friday instead of Monday to Sunday like the rest of the team. In this case, you would click Allow team availability settings to define their working hours. When finished, click Update Team Business Hours. Here, you can also edit, add, or remove team members. When done, click Update Department. To delete a team, click Delete. You will be prompted to enter the name of the team you want to delete. After doing so, click Delete Test. And that's it! How to set up your company's Single Sign-On (SSO) in CloudChat

How to set up your company's Single Sign-On (SSO) in CloudChat Single Sign-On (SSO) lets your team access CloudChat with the same corporate credentials they already use in Google Workspace or Microsoft Entra ID (Azure AD) — with no separate password. You set it up yourself, in just a few minutes, using our wizard. Step-by-step video (setup through the wizard): Open the video on Loom Before you start You will need: - To be an administrator of your CloudChat account. - To have permission to register/configure applications in your identity provider (Google Workspace or Microsoft Entra ID). Depending on your organization's policy, this may require an administrator — or it may already be available to you. - To know your team's corporate email domain (e.g., yourcompany.com). ⚠️ Important — SSO does not create users. Single Sign-On only connects a person who already has access to CloudChat to their corporate identity. If someone on your team has not been added to the CloudChat account yet, they need to be added the usual way before they can sign in via SSO. SSO authenticates; it does not grant new access on its own. Step by step 1. Open the SSO wizard In your account's admin panel, go to "Configurações → SSO corporativo" (Settings → Corporate SSO). 2. Choose your provider Select Google or Microsoft, according to your company's identity provider. 3. Configure it in your provider The wizard will show you the details you need to register in your identity provider (such as the redirect / callback URL). Copy those details and: - Google Workspace: create the OAuth credentials in the Google Cloud Console and authorize the redirect URL provided. - Microsoft Entra ID: register the enterprise application and add the redirect URL provided. Then bring back to the wizard the details your provider generated (client identifier and secret, or the federation details). 4. Prove domain ownership Enter your company's email domain. SSO can only be enabled for a domain you prove belongs to your organization — this ensures nobody sets up login for a domain that isn't theirs. 5. Test the login Run a test login with a corporate account that already exists in CloudChat. If it signs in successfully, the wizard confirms that everything is set. 6. Enable it for the team Choose the activation mode and finish. From then on, your team can sign in using the corporate login button. Frequently asked questions Does my team's password go through CloudHumans? No. Authentication happens in your provider (Google/Microsoft); CloudChat only receives the identity confirmation. Can I use Google and Microsoft at the same time? Yes. You can configure both providers for the same domain. Can a new user sign in directly via SSO? No. They first need to be added to the CloudChat account. After that, SSO login works normally. Does password login keep working? Yes. Enabling SSO does not remove password login. I got a setting wrong — what now? You can reopen the wizard and redo the steps at any time. If you have any questions, talk to our support team. Need help? Talk to CloudHumans support.
